Basic Purpose

Positions in this job family are assigned responsibility for performing paraprofessional technical work involving the maintenance and reporting of financial accounting data.  This includes maintenance of appropriate accounts, ledgers, journals, registers, and other financial records, reconciliation of various financial statements and documents, processing of various transactions for payment of invoices or expense vouchers, maintenance and processing of payroll data, and the preparation of routine or standard reports concerning financial operations and data.

Typical Functions

The functions performed by employees in this job family will vary by level, but may include the following:

  • Maintains accounting records including ledgers, journals, registers, and individual accounts; classifies and codes revenues and expenditures for entry into appropriate accounting records.
  • Reviews and reconciles various financial transactions; examines invoices, expense vouchers and other source documents to verify obligations and post appropriate records.
  • Prepares financial reports, statements and schedules of standard design.
  • Maintains files of source documents and other information related to accounting activities.

Level Descriptors

This job family has four levels which are distinguished by the level of complexity of work assignments, level of expertise required to perform assigned tasks, and responsibilities for providing leadership to others.

LEVEL I:                                   Code:  D50A                             Salary Band:  F

This is the basic level of this job family where employees are primarily responsible for performing routine entry level technical accounting work in a training status to increase their skills in maintaining financial accounting data and preparing routine or standardized reports or other financial documents.  In this role they will primarily be involved in work related to reviewing and processing documents such as expense vouchers, invoices, purchase orders and similar documents for simple errors and classifying , coding and posting financial data to an established accounting system, preparing simple statements, schedules, statistical data and other information concerning financial operation, and performing related clerical duties in maintaining related files and records.

Knowledge Skills and Abilities required to perform work at this level include knowledge of accounting procedures and terminology, of business arithmetic, and of modern office methods and procedures.  Ability is required in the use of office equipment such as calculators, personal computers or computer keyboards, and copiers.

Education and Experience required at this level consists of one year of clerical, bookkeeping, or technical accounting experience or an equivalent combination of education and experience, substituting completion of six semester hours in accounting or bookkeeping at an accredited college or university for each six months of the required experience or the completion of a vocational training course in accounting for the one year of experience.

Level II:                                   Code:  D50B                             Salary Band:  G

This is the career level of this job family where employees are assigned responsibilities at the full performance level for performing technical accounting duties involving the maintenance and reporting of financial accounting data.  This includes reviewing and processing moderately complex invoices and other documents for payments, assigning revenues and expenditures to appropriate accounts or functions and posting appropriate records, preparing routine reports and financial statements, posting payroll data to a payroll system, checking accounts for appropriateness and accuracy of entries, and performing routine reconciliation’s of accounting data and information.

Knowledge Skills and Abilities required for performance at this level consist of those identified in Level I plus demonstrated skills in the maintenance and reporting of financial accounting data.

Education and Experience requirements consist of those identified in Level I plus one additional year of experience in performing technical accounting work; or an equivalent combination of education and experience, substituting 12 semester hours in accounting for the required additional year of experience.

Level III:                                  Code:  D50C                             Salary Band:  H

This is the specialist level of this job family where employees are assigned responsibility for performing advanced technical accounting work.  This may include independent responsibility for maintaining all accounting records of a small fiscal unit or performing independent advanced specialized accounting tasks in a  fiscal division which is large in scope with several phases of accounting activity, such as separate accounts receivable, accounts payable, and payroll functions.

Knowledge, Skills and Abilities required at this level consist of those identified in Level II plus demonstrated ability to work independently and perform a wide range of technical accounting functions.

Education and Experience requirements for classification at this level consist of those identified in Level I plus two years of additional experience in performing technical accounting work.

Level IV:                                  Code:  D50D                             Salary Band:  I

This is the leadership level of this job family where employees are assigned responsibility for the supervision of other employees in performing technical accounting work.  This will include responsibility for assigning, reviewing and checking the work of others and may also include responsibility for evaluating performance, approving leave, initiating disciplinary actions and other administrative tasks.

Knowledge, Skills and Abilities required at this level consist of those identified in Level III plus the knowledge of supervisory principles and practices and the ability to supervise the work of others.

Education and Experience required for classification at this level are the same as those identified in Level III.
