Basic Purpose

Positions in this job family are responsible for performing technical clerical work and providing administrative support in the preparation of cases for legal or administrative hearings.

Typical Functions

  • Reviews and processes applications for various types of administrative, legal or similar hearings; rejects improperly completed applications; explains rules, regulations and policies; sets motions for hearings.

  • Prepares dockets for various hearings; types legal notices, dismissal orders, affidavits, court dockets, continuances, letters and similar documents and correspondence; edits and revises dockets as needed.

  • Researches, prepares and assembles case files; distributes legal documents to attorneys, hearing officers and other personnel.

  • Assists the public and agency personnel in processing documents, retrieving original files and obtaining copies; maintains files and records, including entry of data into computer records.

  • Operates office equipment and machines; opens and processes incoming mail; answers telephones.

Level Descriptors

The Docket Clerk job family consists of three levels which are distinguished by the complexity of the work assigned, the experience required to perform assigned tasks, and the responsibility assigned for providing leadership to others.

Level I            Code: E15A            Salary Band: F

This is the basic level of this job family where employees are assigned responsibilities involving beginning level technical clerical and administrative support duties in accepting, preparing, and processing documents related to legal and administrative hearings.

Knowledge, Skills, and Abilities required at this level include knowledge of rules and practices concerning administrative and legal hearings; of basic legal terms and definitions; of spelling, punctuation, business English and modern office practices; of maintenance of complex records; and of business communications. Ability is required to enter data accurately from plain copy at a rate of thirty-five words per minute; to establish and maintain effective working relationships; to maintain confidentiality; to deal tactfully and discreetly with the public; to operate standard office equipment; and to follow oral and written instructions.

Education and Experience requirements at this level consist of four years of experience in technical clerical work or an equivalent combination of education and experience.

Level II            Code: E15B            Salary Band: G

This is the career level of this job family where employees are assigned responsibilities at the full performance level for performing responsible technical clerical and administrative support duties in the acceptance, review, and processing of a variety of pleadings, maintaining files and records, and scheduling dates for hearings. This may also include overseeing the entry of complex data into the electronic file and case tracking systems and the imaging of critical information through the central filing system. Responsibilities may also include providing training, assigning work, and monitoring the completion of assignments of lower level docket clerks.

Knowledge, Skills, and Abilities required at this level include those identified in Level I plus knowledge of pertinent statutes and agency policies related to processing pleadings, legal documents, and forms; and ability to enter data accurately from plain copy at a rate of fifty words per minute; to analyze situations and make responsible decisions; and to prepare complex legal documents and forms.

Education and Experience requirements at this level consist of those identified in Level I plus one year of experience in the acceptance, review and processing of documents in a Court Clerk’s office.

Level III            Code: E15C            Salary Band: H

This is the leadership level of this job family where employees are assigned responsibility for performing diverse administrative support duties requiring unique and specialized knowledge relating to administrative and judicial hearings and for the supervision of lower level staff performing technical and administrative support duties related to such hearings.

Knowledge, Skills and Abilities required at this level include those identified in Level II plus knowledge of agency objectives and mission requirements; of references used in legal research; or legal terms and definitions, and of supervisory principles and practices; and ability to direct the work of others; and to analyze situations and exercise sound judgment in interpreting and applying rules, laws, and policies of the Court Clerk’s office.

Education and Experience requirements at this level consist of those identified in Level II plus two additional years of experience in the acceptance, review and processing of documents in a Court Clerk’s office.
